Facilities Manager



The Facilities Department Manager will join one of the largest shelter providers to homeless families in Metro-Boston. Hildebrand is an independent nonprofit, 501(c)(3) organization that serves 300 homeless families each year. The organization helps families transition to self-sufficiency through the provision of emergency shelter, transitional support and stabilization, housing search, advocacy, and case management. Hildebrand operates over 126 units of emergency shelter via scattered sites and congregate living programs in several communities throughout the region; and operates two permanent housing buildings in Boston and Cambridge. The Facilities Department Manager will be a member of a team in an organization of 70 employees with a $6.2 million operating budget.

Management oversight of the janitorial, landscaping and maintenance services performed by the Facilities Technician team. This is a working manager position providing in-field support, supervision, and project planning, including training of staff when required.


The Facilities Department Manager is responsible for the care and upkeep of Hildebrand's properies (both leased and wholly owned). The position requires the employee to perform the actual tasks as outlined in this job description, and as needed, oversee other persons and/or tradespersons hired by Hildebrand to perform maintenance related jobs in the absence of the Director or while in the field.

RESPONSIBILITIES include but are not limited to:
  • In concert with Administrative Coordinator organize and plan Facilities Team work load for maximum efficiency and expediency.
  • Effectively communicate daily/weekly action plans with maintenance staff to assure completion of assigned tasks within specified time frames and allocated resources.
  • Manage supply inventory to budget, allocate supplies to congregate houses and educate house staff on ways to properly manage resources.
  • Conduct safety & security inspections including reporting results to Director of Operations with follow up as directed to ensure that all noted deficiencies have been corrected.
  • Work with Director of Operations to continually improve all maintenance systems and programs for maximum efficiency and effectiveness, and to create additional ones as needed.
  • Manage tool, furniture, supply kit and consumable supplies to agency standards and budget
  • Prepare written reports as directed.
  • Perform other related duties as assigned by the Director of Operations.
Routine Property Maintenance
  • Provide general routine maintenance tasks and ensure consistently high quality of work of maintenance staff, as appropriate, including: painting; repairing holes in walls; installation of door locks; repair/replacing broken windows including glazing of new panes; installing light bulbs; unclogging drains; repairing or replacing a toilet, sink, faucet, or torn screen; installing window shades; removal of debris; yard work; grass cutting, general grounds keeping; caulking; installing dry wall to finish.
  • Perform snow removal services at all owned and some leased properties as needed and per agency specifications. Includes work by snow blower hand shoveling, salting
  • Maintenance of company van, including routine service appointments.
  • Perform any other task that is necessary to maintain the property in a safe, workable and “cared for” condition.
Routine Janitorial Tasks:
  • Perform daily “main” office cleaning to specifications outlined.
  • Perform heavy household cleaning jobs such as floor and wall washing, emptying the daily trash, cleaning out the cellar, ordering janitorial supplies, refilling toilet tissue, paper towel dispensers.
  • Perform any other task that is required to keep the property clean and orderly.
Routine Program Tasks:
  • Move furnishings from one room/unit to another to prepare for an incoming family.
  • Pick up donations from various community, governmental organization or business.
  • Assist other agency programs with facility maintenance and repair tasks as assigned.
  • Assist staff in providing security for the property or program as required.
  • Perform any other task necessary to support the program goals.
Additional Duties:
  • Maintain accurate and timely inventories of all furniture & consumable materials.
  • Maintain an inventory of all work tools, materials and donations kept on the premises as directed.
  • Responsible for on call and emergencies after hours and weekends as necessary.
Hildebrand has basic job skills and work ethic standards that are required of all employees. The following is a summary of the additional skills needed for the specific job title above:
  • 3-5 years supervisory experience of janitorial/landscaping, property maintenance crews and/or building trade’s teams.
  • Basic knowledge of carpentry, plumbing and electrical repair with a skill level proficient to perform basic home repairs not requiring a licensed tradesman.
  • Familiarity with Microsoft Word, and Excel.
  • Ability to ambulate unassisted and lift up to 75 lbs.
  • Massachusetts driver’s license and ability to drive up to a 27’ box truck.
  • Must read and write English sufficient to generate and maintain reports.
  • Responsible for on call and emergencies after hours and weekends as necessary.
This is a full-time position requiring 40 hours per week. 
This position requires a rotating On-Call week every 3 weeks.
As with all Hildebrand staff positions, a CORI check is required.
As with all Hildebrand staff positions, there is a 90-Day evaluation period.
