Our Organization
Founded in 1988, Hildebrand is an independent 501(c) (3) nonprofit organization that serves 300 homeless each year families in shelter, permanent housing and stabilization programs. Hildebrand operates over 126 units of emergency shelter via scattered sites and congregate living programs in several communities throughout the region; and owns three permanent housing buildings containing 11 units of housing. The organization impacts homelessness through prevention, intervention, and training activities
that lead to the placement of over 60 families each year into permanent housing.

The Opportunity
The Operation Manager (OM) supports better functioning of management through reporting, flow of information, planning and processes in which Hildebrand is engaged. S/he monitors daily activities across the entire organization to improve efficiency and productivity, with an eye toward maximizing the use of resources, both human and material. The OM will serve as the ambassador who connecting values to our work; and driving organizational initiatives of the organization that contribute to long term operational excellence.

The Responsibilities
•Oversee all operational needs including environment, office assignments, and physical structure.
•Manage entire cataloging of documentation. This includes maintaining offsite storage for Hildebrand records
(Finance, HR, Client, etc.) in compliance with the organization’s retention schedule.
•Develop and maintain inventory control and tracking system. Monitor trends for any discrepancies.
•Oversee and maintain facility software system. Ensure all data is accurate and timely.
•Work with CFO, Property Manager to review statements, invoices and reports to ensure costs are in line with budget.
•Create a unit rating system to ensure that all leased properties meet the Hildebrand standard.
•Develop reports and dashboards that allow management to understand organizational trends.
•Collect and analyze serious incident reports for trends, and develop strategies that minimize health and safety risks to staff and clients reduce likely of organization liability.
•Manage meeting logistics; scheduling, technology needs, catering etc.
•Maintain key card system, including tracking system for all issued cards. Maintain all equipment; copiers, phones, and
fax machines.
•Work in conjunction with HR Manager to identify staff needs for training. Plan and conduct staff trainings.
•In collaboration with the Property Manager, develop weekly planning schedules (communications, work orders,
supply delivery, etc.) for administrative coordinator, facility techs, and cleaning service.
•Solicit bids for equipment and serve as the interface with vendors; ordering cleaning supplies and equipment,
furniture, and client kits. Strengthen vendor relationships.
•Create inspection schedules and procedures in conjunction with the Program Manager.
•Produce Operational dashboards for Senior Staff and the Board.
•Collaborate with program staff on intakes, transfers and placements logistics.
•Develop more effective ways to use technology to stay in communication with clients in order to improve
participation in workshops and other Hildebrand activities.
•Work with Program Manager to ensure all units are in compliance; collaborate on budget development.
•Perform other duties as assigned by the CFO or CEO.

The Operations Manager will encompass the following requirements:
•Bachelor’s Degree required; 5 years’ experience within a public organization; Nonprofit, Government, Foundations
•Strong organization and process skills; balancing complex and multi-dimensional and varied projects that require an eye for detail, persistence and ability to follow through.
•Strong analytical skills
•Excellent verbal communication skills and ability to persuade and motivate others is essential;demonstrated strong
writing and editing skills.
•Technically Advanced; social media platforms; Microsoft Suite, MAC, ability to learn new systems quickly
•Conceptual thinker with creative instincts; ability to maintain confidentiality
•Ability to react positively and quickly to last minute changes in logistics or needs
•Self-starter, strong collaborator and passion for the work of Hildebrand
