Our Organization
Founded in 1988, Hildebrand is an independent 501(c) (3) nonprofit organization that serves 300 homeless each year families in shelter,
permanent housing and stabilization programs. Hildebrand operates over 135 units of emergency shelter via scattered sites and congregate
living programs in several communities throughout the region; and owns three permanent housing buildings containing 11 units of housing.
The organization impacts homelessness through prevention, intervention, and training activities that lead to the placement of over 60 families
each year into permanent housing.
The Opportunity
This is an exciting year to join our team as Hildebrand will be developing a strategic plan and expanding its permanent housing. As a member of the leadership team, the Director of Operations will play an integral role in shaping the future of this rapidly growing organization.
The Director of Operation’s (DOO) primary role is to ensure the day-to-day operations, processes, policies and practices are carried out in an efficient manner by provide ongoing improvement, produce high quality business practices, and systems (e.g., IT/communications, tenant management, vendor management, supply ordering, storage and distribution, units and vehicle maintenance), and mitigate risk.
The DOO will monitor and evaluate the effectiveness and efficiency of the organization’s infrastructure (i.e. computers, phones, software, vehicle(s), housing stock, shelter units, office & shelter units, and develop and implement processes for change, and communicate plans to the organization. The DOO also provides support and direction to the Property Manager, who manages the Facilities Technicians and Administrative Coordinator. This team ensures that Hildebrand’s owned, and leased properties, vehicles, and storage units are physically
safe, clean, well maintained, and in compliance with applicable federal, state, local laws, and regulatory, and contract specifications.
The Director of Operations reports directly to the CEO with strong collaborations and support of Hildebrand’s leadership team.
The Responsibilities
• Oversee all systems to ensure optimum functionality, efficiency, and effectiveness. Operation department systems include: Work
Order System, Inventory and Supplies Distribution, Keys Management, Safety & Security Inspections, Preventative Maintenance,
and Inventory Reconciliation.
• In collaboration with the senior leadership team, ensure that all departments and locations have proper business and
technological infrastructure in place to promote efficient workflow, communications, and safety. Evaluate new technology to
improve organization work quality, flow and efficiency and security.
• Ensure a pool of qualified and licensed contractors (specialized skilled tradesmen) are available to support the operation and
maintenance of the buildings; this includes oversight of said contractors’ work.
• Evaluate all contractor and vendor relationships to ensure adherence to policies and best pricing on repairs, construction work,
equipment, supplies and material purchases.
• Work with the CPO, Property Manager (PM), and programs team to ensure smooth operation of properties, including emergency
shelter and tenant management communication, problem solving, compliance reviews and reporting, and capital improvement
needs planning and related budget development. Assist with the coordination of property compliance reviews from (CEDAC,
DHCD) and coordinate their review process.
• Ensure that Hildebrand’s’ office spaces and properties are maintained at a high level. Provide direction to the PM in the
maintenance and repair of building interiors and exteriors that include- roofs, gutters and downspouts, HVAC systems, porches,
fire escapes, drains and lines, wall and floor coverings, walkways, electrical and heating systems, interior stairways, walls, ceilings,
floors, walkways, and landscapes. Ensure capital improvement plans and maintenance schedules are followed.
• In coordination with the PM, ensure Hildebrand communication with landlords and property management companies, DHCD, and
program leadership about property needs, inspection schedules, etc., to bring find solutions to ensure the upkeep and proper
care of scattered sites.
• Serve as lead for tenant lease management. Facilitate regular Permanent Housing Meetings to review these items with the
Accounting Manager, Property Manager, CPO and Associate Director of Stabilization & Housing. This team assesses rent
structure; monitors lease compliance and renewals, voucher recertification process, and develops stabilization strategies related
to late rent payment.
• Produce monthly department dashboards, management reports, metrics that monitor effectiveness, cost efficiency, and
utilization.
• Hire, train, evaluate, and develop staff. Evaluate the effective deployment of all human resources within the department to
ensure more effective use of time and skills.
• Ensure that all Hildebrand staff have the resources needed to perform their roles well, that resources provided are properly inventoried, and implement systems of accountability for their assignment.
• Develop and manage the department budget, monitor monthly expenses, and contribute to the overall organization budget
planning process.
• Develop, update and regularly communicate changes to systems, policies or procedures to all Hildebrand staff.
• Serve as the interface with the external IT firm and phone company that support hardware, and cloud applications.
The Director of Operations will encompass the following requirements:
• Bachelor’s Degree and 5+ years of progressive professional experience in a similar role.
• Experience in affordable housing, building maintenance systems, or tenant management preferred.
• Proven ability to develop work plans and manage multiple projects simultaneously.
• Familiarity with appropriate local, state, and federal regulations as it relates to programs and compliance.
• Demonstrated track record in working with contractors, technicians, mechanical maintenance, and an understanding of related
safety issues, project management, construction, etc.
• Technical proficiencies; Microsoft Office applications, Systems network experience helpful.
• Commitment to the delivery of high-quality service.
• Collaborative team player, but also knows how to work as an individual contributor.
• Analytical thinker with excellent verbal and written communication skills; ability to foster confidence and input from staff; a
coaching leader skilled in providing constructive feedback in a positive manner.
• Strong motivator of staff and enjoys working in a team-oriented environment with all levels of staff.
• Massachusetts driver’s license and own vehicle required.
• Passion for human and social services work.
